Publishing Open Access through a CAUL agreement? Use your institutional email address!

If you’re planning to publish Open Access through a CAUL agreement, one simple step can save a lot of time and headaches later: use your institutional email address when you submit your manuscript.

Many publishers use your email address as part of the process for confirming that you’re eligible for Open Access publishing under an institutional agreement. While some publishers also use other methods, the process varies from publisher to publisher and it’s often not obvious which checks will be applied until your article is already in the system.

When an author lists their university affiliation but submits using a personal email address, additional checks may be needed to confirm eligibility for Open Access publishing under an institutional agreement. Using your institutional email address from the outset can help avoid unnecessary delays.

Before you submit

To give yourself the best chance of a smooth publishing process:

  • Check whether your journal is covered by a CAUL Open Access agreement.
  • Review any publisher requirements or eligibility criteria before submission.
  • Contact your library if you’re unsure whether an agreement applies.
  • Use your institutional email address as the corresponding author.

While an institutional email address may not always be required, it removes one of the most common barriers to confirming eligibility under Open Access agreements and helps ensure the publishing process runs as smoothly as possible.
